Connect an Existing WhatsApp Business App Number¶
Overview¶
If you're already running your business on WhatsApp through the WhatsApp Business App on your phone, you don't have to give that up to use ConnectGain. You can connect that same number and keep using the app exactly as before — ConnectGain simply joins in, so your team can also see and reply to the conversation from the shared Inbox.
Meta calls this coexistence. In ConnectGain, it's the "Connect existing WhatsApp Business App number" option when adding a WhatsApp channel.
What you get:
- Your existing contacts and up to 6 months of recent chat history are brought into ConnectGain automatically.
- The WhatsApp Business App keeps working on your phone, side by side with ConnectGain.
- There's no activation fee for this — you're not creating a new number, so nothing is purchased.
What stays the same either way: replies sent from your phone's WhatsApp Business App still show up in the ConnectGain Inbox (labeled "Sent from phone"), and anything sent from ConnectGain goes out on the same number your customers already know.
Before you start¶
- Update the WhatsApp Business App on your phone. Meta requires a reasonably current version for this to work. If the setup below fails at the Meta step, this is the first thing to check.
- You'll need your ConnectGain account owner's password. Connecting any WhatsApp number — new or existing — provisions messaging infrastructure under the organization owner's account, so the setup asks for the owner's email and password once, during setup only. See Owner Password Protection below.
- This option isn't available on the Free plan. If you're on Free, you'll see a prompt to upgrade before you can connect a WhatsApp Cloud number this way.
Setting It Up¶
- Go to Settings → Channels → Add Channel → WhatsApp Cloud.
- Choose "Connect existing WhatsApp Business App number".
- Click Continue with Meta and sign in. When Meta's sign-up screen recognizes that the number you enter is already active in the WhatsApp Business App, it will show you a short consent screen for sharing your chat history — accept it to bring your recent conversations into ConnectGain.
- Give the channel a name (for your own reference — e.g. "Sales WhatsApp") and confirm the organization owner's password.
- ConnectGain finishes activation automatically. Because the number is already registered with Meta, this is usually immediate — you won't be asked for a verification code or PIN.
Once it's done, the channel shows as connected under Settings → Channels, and new messages start appearing in your Inbox right away.
What Happens to Your Chat History¶
- History import is a one-time thing, and it can only happen within a short window after you connect the number — this is a limit Meta sets, not ConnectGain. If you decline the chat-history prompt during setup, or the window passes, you'd need to disconnect and reconnect the number to try again.
- Imported conversations appear in your Inbox as closed threads — nothing is assigned to an agent, and nobody gets notified about old messages as if they'd just arrived. If a customer messages again, that conversation reopens normally and routes like any other new conversation.
- Imported history doesn't count toward your plan's monthly conversation limit, since it isn't new customer activity — it's historical record-keeping.
- Media (photos, voice notes, documents) from before you connected ConnectGain isn't pulled in — Meta doesn't make that available through this import. The message is still shown, just without the attachment. Anything sent after connecting comes through normally.
- Any contacts already saved in your phone's WhatsApp Business App are brought in as contacts too. If you later remove someone from your phone's contacts, they are not deleted from ConnectGain — removing a contact there only affects your phone, since the ConnectGain record may have deals, tasks or other history attached to it.
Replying From Your Phone¶
You can keep replying to customers directly from the WhatsApp Business App on your phone — you don't have to switch entirely to ConnectGain's Inbox. Those replies are copied into the ConnectGain conversation automatically and labeled "Sent from phone", so your team always has the full picture even when you answer something yourself on the go.
A Note on the Owner Password Step¶
You may notice this setup — like creating a brand-new WhatsApp number — asks for the account owner's ConnectGain password partway through. This provisions the messaging infrastructure behind the number under the owner's account rather than the person doing the setup, which matters if you're a team member setting this up on the owner's behalf. The password is used once, at that moment, and is never stored.
ConnectGain support will never ask you for this password over phone, email or chat — it is only ever entered directly into this setup screen. If anyone claiming to be from ConnectGain or Appgain support asks you for an account password, don't give it to them, and please let us know.
Frequently Asked Questions¶
Do I have to stop using the WhatsApp Business App? No — that's the whole point of this option. If you want a brand-new number managed entirely through ConnectGain instead, use "Create New" when adding a WhatsApp channel; that's a different, paid flow for a number that doesn't exist yet.
Will this cost anything? No activation fee applies to connecting an existing Business App number. The channel still counts toward your plan's normal channel limits, the same as any other connected channel.
What if I don't see the chat-history consent screen during Meta sign-in? That screen only appears when Meta's own sign-up flow recognizes the number as already active in the WhatsApp Business App. If it doesn't appear, Meta treated it as a brand-new number instead — double-check you entered the exact number that's active in your Business App, and that the app itself is updated to a recent version.
I connected before accepting the history-sharing prompt. Can I still get my history imported? Not automatically — Meta's one-time import window will have passed. You'd need to disconnect the channel in ConnectGain and go through setup again, accepting the history-sharing step this time.
Someone on my team sent a message from the phone, but I don't see it in ConnectGain. Give it a moment — this is Meta delivering the message to ConnectGain, not something ConnectGain checks on a schedule. If it's been more than a few minutes, check that the channel still shows as connected under Settings → Channels.
The channel says connected, but customers' messages never arrive. When a WhatsApp number is connected, ConnectGain tells Meta to send that number's messages to your inbox. If you see a warning that the phone number "could not be pinned", Meta accepted the account but not the number itself, and messages may not arrive yet. Open the channel in Settings → Channels, go to its Webhooks tab and subscribe again. If the warning keeps coming back, contact support.
