Meetings & Minutes of Meeting¶
Beta. Anyone can activate their own plan from Settings → Meetings — see Billing. If the page itself shows as locked before you've activated anything, contact support.
Meetings records an in-room meeting straight from the browser, transcribes and analyses it the same way Call Intelligence handles calls, and produces a formal Minutes of Meeting document — attendees, agenda, discussion, decisions, action items, risks and next meeting — that you can edit, export to PDF, turn into ConnectGain tasks, and send to attendees.
Capture is record-then-analyse: the transcript and minutes appear when processing finishes, not while people are speaking.

Recording a meeting¶
- Open Meetings and click Record.
- Allow microphone access. For a hybrid meeting on Chromium desktop (Chrome, Edge) you can also share the audio of a browser tab so remote participants are captured. Use headphones: the microphone cannot cancel audio coming from your speakers.
- Speak normally; the level meter shows what is being captured. Pause and Resume as needed — paused time is not counted.
- Click Stop, then Save and process.
A recording can run up to 3 hours 20 minutes. At that point it finalises itself and is sent for processing, so a very long meeting is processed rather than lost. Audio is encoded while you record, so a long meeting does not strain the browser.
Browser support: recording works in every modern desktop and mobile browser over HTTPS. Capturing tab or system audio needs Chromium on desktop. Where the browser allows it, the screen is kept awake while recording; recording continues either way.
If the tab crashes¶
Audio is saved locally in the browser as it is recorded. If the tab crashes, the page is refreshed or the browser restarts, reopening Meetings on the same device offers Save and process or Discard for the unfinished recording. Recovery is per device: a recording cannot be recovered from a different machine.
Recording Zoom meetings with the ConnectGain bot¶
ConnectGain can join your Zoom meetings for you. A participant called ConnectGain Meetings joins, records the meeting's audio, and leaves when the meeting ends. The meeting then appears in Meetings with its transcript and minutes, like one you recorded yourself. It works with free Zoom accounts — nobody needs to press Zoom's own Record button.
- Automatically. On the Meetings page, open Integrations: connect Zoom, and connect your Google or Microsoft calendar. Then every Zoom meeting on your calendar — and every ConnectGain booking with a Zoom link — gets the assistant. Choose All Zoom meetings on my calendar or Only meetings I organize, or switch the assistant off for yourself. Upcoming meetings are listed on the Meetings page; switch Record off for any one you do not want recorded. Disconnecting Zoom stops automatic joins. An owner or admin can turn automatic joining off for the whole workspace.
- On demand. Click Send bot to a meeting, paste the Zoom invite link (or the meeting ID), and the bot joins straight away.
- Stop makes a bot that is already in a meeting leave; what it recorded so far is still saved and processed.
- Each bot shows its progress: Scheduled → Joining → In waiting room → Recording → Saving → Processing → Ready once the transcript and minutes exist.
Things to know:
- If the meeting has a waiting room, the host has to admit the bot.
- The bot announces itself in the meeting chat, saying it is recording. Anyone who does not want to be recorded can ask the host to remove it.
- Paste the full invite link for meetings with a passcode — a bare meeting ID does not carry it.
- The bot leaves when the meeting ends, after about 3 minutes alone in it, or after 3 hours 20 minutes.
If a host records to the Zoom cloud instead, that recording is filed in Meetings too — unless the bot already recorded the same meeting.
Who can see a meeting¶
Every member of your organization can open a meeting and its minutes — not only the person who pressed record. Meetings are kept out of Call Intelligence lists, reports, analytics and call scorecards; they do count toward the same minutes and AI quotas as calls.
Once minutes are marked final, only the organiser or an admin can edit them.
The minutes¶
Processing produces a structured document: attendees, agenda, discussion by topic, decisions, action items with a suggested owner, risks and the next meeting.
- Edit anything. Every section is editable in place.
- Rename a meeting with the pencil next to its name at the top of the meeting. The new name shows in the meetings list too and is kept when you regenerate. Minutes you have marked Final cannot be renamed until you reopen them.
- Action items can be added, edited and removed: use Add action item, or the pencil and bin beside an item. Removing shows an Undo for a few seconds. An item that already has a task, or is waiting for approval, is locked so the task never loses its source.
- Regenerate re-runs the analysis on the existing transcript when the first pass missed something. Sections you have edited are preserved, so correcting a name and asking for better minutes never discards the correction.
- Long meetings are transcribed in several passes, so the transcript can take a while to complete after a long recording.
- Empty sections are left out: a short meeting produces short minutes, not a form full of blanks.
Export, tasks, sharing and email¶
- PDF — Export uses your browser's print pipeline, which handles Arabic and right-to-left text correctly, paginates, and keeps the text selectable.
- Tasks — an action item becomes a ConnectGain task only when you click Create task; nothing is created silently. The owner is pre-selected only when the match is unambiguous, and a second click cannot create a duplicate.
- Share link — share the minutes with people outside your organization. The shared page never includes the transcript or the recording, and with sensitive data disabled it also leaves out organiser notes and attendee email addresses.
- Email — send the minutes from a connected email account. If none is connected, the dialog offers to copy the share link, export the PDF, or open your own mail client instead.
Billing¶
Meetings is activated per person, not once for the whole organization: each team member who wants it goes to Settings → Meetings and picks their own plan. Nobody else's access changes when you activate yours, and you're billed on your own subscription.
| Plan | Monthly | Annual |
|---|---|---|
| Pro | $14/mo | $11/mo (billed yearly) |
| Enterprise | $21/mo | $16/mo (billed yearly) — adds video playback and highlight reels |
| Enterprise+ | $28/mo | $21/mo (billed yearly) — adds configurable data retention and SAML single sign-on |
Every plan includes unlimited meetings, each up to 3 hours 20 minutes long — there's no monthly cap on how many meetings you record. The same Settings → Meetings page shows how many minutes you've recorded so far this month (purely informational — nothing is capped by it) and lets you manage or cancel your subscription.
An owner or admin can see every team member's Meetings plan, status and monthly usage from Billing Admin → [your workspace] → Meetings.
Meeting recordings are retained for 2 years.
Known limitations¶
- No live transcription. Text appears after processing, not while people speak.
- Recovery is same-device. A crashed recording is recovered on the machine it was made on.
- Tab/system audio is Chromium desktop only, and the microphone cannot cancel it — use headphones for hybrid meetings.
- The bot joins Zoom meetings only — not Google Meet or Teams — and cannot join meetings restricted to signed-in Zoom users.
